Digital Asset System Manager
Job Summary
The DAM Administrator will maintain and promote our global Digital Asset Management (DAM) platform –VOLT provided by Acquia. They will be the lead in areas of technical system maintenance, global processes and procedures including rights management, communications, metadata creation and consistency, training and user support.
This person will be responsible for managing, mentoring, reviewing, sharing and enforcing best practices. Approximately 50% of this position will be uploading and tagging image & video files.
The DAM Administrator will work closely with the Director, Creative Services to ensure all assets and source files are submitted to the DAM with accurate metadata and using a common global process, and also for escalation issues or when key decisions about system functionality and/or company policies or processes need to be created or modified.
Key Responsibilities
- Identify and provide ongoing training to various asset creators and agencies to efficiently and effectively submit assets for integration into the system.
- Create, communicate and help enforce processes and procedures to acquire proper legal paperwork and appropriate metadata throughout the different user groups – with the set-up of User Roles and Permissions.
- Create and support "best practices" to improve the system, various processes, and communication opportunities.
- Maintain supporting documentation for the system, including legal policies and expiring assets.
- Work closely with our outside agencies to ensure consistency in file uploads, metadata, policies and procedures.
- Ability to work in an international environment with understanding of those asset challenges.
- Experience in archiving and creation of department-specific portals and advanced search for ease of use.
- Track performance and gather user feedback on a yearly basis to continue to improve the system, process and training.
- Run yearly audits to ensure the assets are being properly maintained.

Qualification Requirements
Education and/or Experience:
Bachelor’s degree in Library Science, Archive Management, Communications, or Information Systems - with a minimum of 5 years’ experience working with a digital asset management system, preferably in a creative studio environment.
Job Requirements:
- Experience with a creative department workflow, basic design and production knowledge, creative standards, and photographic file types is required.
- Experience with digital asset management, technical projects and search technologies.
- Experience using a structured digital environment to catalog visual assets with a strong understanding of databases and media asset organization.
- Must be detail-oriented, and able to perform data entry with a high degree of accuracy.
- Possess the ability to establish and enforce companywide standards.
- Must be highly organized, results-oriented, schedule-driven, and have excellent written and oral communication, time management, and organizational skills.
- Must be comfortable working with diverse teams and have the ability to communicate and work effectively with people in person and virtually to identify and gather assets.
- Flexibility to quickly shift priorities based on business demands. Superior problem-solving skills a must.
Technical Capabilities:
- Must possess a high level of proficiency in digital asset management software. Proficiency in MS Office (Outlook, Teams, Word, Excel, PowerPoint) Smartsheet, and Adobe Photoshop.
- Knowledge of project tracking and task management systems such as Jira a plus.
- Working knowledge of office equipment - printers and copiers.
Language Skills:
Must demonstrate strong written and verbal communication skills, and have the ability to read, analyze, and interpret job requests, correspondence, specifications, procedures, and production schedules. Must be able to write reports, business correspondence, and procedures. Must be able to communicate effectivity and present information accurately.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception.
Work Environment:
The environment for this job is typical for an office and does not result in exposure to conditions outside of the normal office environment.
