Creative Services Project Manager

Job Summary

The Creative Services Project Manager serves as the central point of coordination and leadership for all creative projects across the organization. This role is responsible for managing the full lifecycle of print and digital projects—from intake and scoping through execution, delivery, and evaluation—while ensuring alignment with brand standards, business priorities, timelines, and budgets.

Partnering with the Director of Creative Services and the Manager of Creative Services, the Project Manager serves as the liaison among internal stakeholders, external partners, and the Creative Services team. The Project Manager oversees workflow, resource planning, scheduling, approvals, and risk management. The role also plays a key part in optimizing processes, maintaining project visibility, and driving operational efficiency within a fast‑paced, in‑house creative environment.

Location

We operate on a hybrid work model, which requires employees to be in the Orlando office at least twice a week.

Key Responsibilities

Project & Workflow Management

  • Manage and oversee creative projects from initiation through completion, ensuring on time and on budget.
  • Serve as the intake and coordination lead for all creative requests, ensuring projects are clearly scoped, properly prioritized, and accurately entered into the project management system (Jira).
  • Develop and manage detailed project schedules, milestones, approvals, and deliverables across multiple concurrent projects.
  • Monitor project progress, proactively identifying risks, dependencies, and capacity constraints, and escalating issues as needed.
  • Ensure consistent project documentation, version control, and asset organization across shared platforms.


Resource Planning & Scheduling

  • Partners with the Director of Creative Services and Manager of Creative Services to assign work based on skill sets, availability, and project priority.

  • Balance workloads to maintain efficiency, quality, and sustainable team capacity.

  • Collaborate with the Director of Creative Services and Manager of Creative Services to forecast short- and long-term resource needs based on campaign calendars and organizational priorities.


Stakeholder Communication & Collaboration

  • Act as a point of contact for internal and external stakeholders throughout the project lifecycle.
  • Participate in project kickoffs to help define objectives, scope, timelines, deliverables, and success criteria.
  • Ensure clear, professional, and timely communication among all collaborators.
  • Hold stakeholders accountable to project timelines, deliverables, and review cycles while maintaining strong working relationships.


Production Oversight & Quality Assurance

  • Ensure all creative deliverables meet brand standards, technical specifications, and quality expectations.
  • Develop and maintain knowledge of current print and digital production specifications, standards, and best practices.


Process Optimization & Operations

  • Partner with the Director of Creative Services to evaluate and improve creative workflows, tools, and documentation.
  • Contribute to the development and maintenance of standardized processes for intake, routing, approvals, file management, and reporting.
  • Provide regular reporting and insights on project status, workload, timelines, and performance metrics.


Budgeting, Vendors & Administration

  • Support project budgeting, forecasting, and expense tracking related to creative initiatives.
  • Prepare and process purchase orders, invoices, estimates, bids, and vendor documentation.
  • Recommend, onboard, and manage outside vendors and freelancers as needed.
  • Maintain accurate records of project costs, budgets, and accounting documentation in accordance with department guidelines.
  • Support print production coordination, including schedules, proofs, shipping, and vendor communication.


General & Support Responsibilities

  • Provide guidance and support to project coordination efforts as needed.
  • Assist the Director of Creative Services with scheduling, documentation, and operational needs.
  • Maintain a safe, organized, and professional work environment.
  • Perform other responsibilities and special projects as assigned.

Requirements

Minimum Qualifications

  • Bachelor’s degree in Marketing, Communications, or a related field; or equivalent combination of education and experience.
  • Minimum of 10 years of experience in creative project management, traffic management, account management, or creative operations in an agency or in-house environment.
  • Strong understanding of print and digital creative production processes, timelines, and specifications.
  • Proven ability to manage multiple, high‑volume projects with competing deadlines.
  • Project Manager certification is required. 
  • Experience working with project management platforms (Jira preferred).
  • Experience with asset management systems and creative collaboration tools preferred.

Computer Skills

  • Must have a high level of proficiency in Microsoft 365 - Outlook, Teams, Word, Excel & PowerPoint.
  • Must have advanced experience with Asset Management systems and Google Analytics.
  • Intermediate knowledge of Widen, Jira or project management software is required.
  • Experience with SAP Concur is a plus.
  • Advanced knowledge of digital and print production and processes is required.
  • Basic knowledge of Microsoft Copilot AI and other AI platforms is a plus.
  • General working knowledge of office equipment, such as printers and copiers.


Language Skills

Must demonstrate strong written and verbal skills, and have the ability to read, analyze and interpret job requests, correspondence, specifications, procedures and production schedules. Must be able to write reports, business correspondence and procedures. Must be able to communicate effectivity and present information to vendors, co-workers, upper management, and VO member organizations.

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations. Ability to draw and interpret bar graphs.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception.


Work Environment & Physical Requirements

  • Standard office environment with extended periods of computer use.
  • Occasional standing, walking, and lifting of materials up to approximately 35 pounds.
